Marquee Hire vs Venue Hire: Which Suits Your Auckland Event?

Weighing up a function venue against a marquee for your Auckland event

Should you hire a marquee or book a venue?

Book the venue if it has your date, fits your numbers and suits your guests; if not, or if the place matters, hire a marquee. Marquee Hire City has been putting up NZ-made Baytex marquees across Auckland for more than ten years, from a 450-guest fundraiser lunch on the North Shore Cricket Club grounds to the Veg Big Day Out on a working farm at Pukekohe, and this is how marquee hire vs venue hire usually plays out.

Where It Fits

When does a marquee make more sense than a venue?

A marquee beats a venue when the place matters, your date is taken at the venues you like, or your numbers don't fit. It lets you use your own site, a club ground, a farm or the family lawn, and it is sized to the event rather than the other way round, with our range running from 40-guest backyard set-ups to 1,000-guest pavilions. Our Baytex Clipframe marquees stand on their own frame with no poles in the middle, so you can lay out tables, a bar, a stage or a dance floor wherever they work best. For a work function, choosing a marquee instead of a venue means nobody has to travel, and a weekday build can go up on a Tuesday and come down on the Thursday.

Venue First

When is a venue the better choice?

A venue is usually the better choice when it already has your date, the right capacity and the kitchen, toilets and parking you need. Those are the things a marquee site has to have or bring in, so for a small, short event near a venue that suits, the venue is often the simpler call. We would rather tell you that at the start than sell you a marquee you don't need. For larger events, the free site visit is where that conversation happens: we measure the space, walk it with you and recommend the right size and layout, or tell you a venue will serve you better.

On The Day

What does a marquee site need that a venue already has?

A marquee site needs a workable surface, access for the truck, power, toilets and room around the marquee, which a venue has sorted already. The surface is rarely the problem: we have set up on lawns, sealed and gravel car parks, tennis courts, sports fields, beaches, school grounds and waterfront reserves, and the ground decides whether we anchor with guy ropes, weights or ballast. Every marquee is rated to withstand winds of up to 120kph when it is secured properly. Inside, the tables, chairs, lighting, heating, flooring, walls and PA all come from us on one quote, with one delivery and one pack-down. Power and toilets are the two things to check early, because a site without them needs a generator and portable toilets on the plan.

Paperwork

Do you need a council consent or permit for a marquee in Auckland?

Marquees up to 100 square metres and up for a month or less usually need no building consent, and council parks need an event permit. That building consent rule comes from the Building Act exemption for tents and marquees, so a bigger marquee, or one that stays up longer than a month, needs a consent. Auckland Council asks for an event permit when you bring infrastructure such as a marquee onto a park or reserve. Schools, venues and production companies often want paperwork as well, and we can supply the engineering reports, fire safety specifications, Site Specific Safety Reports and consents they ask for, which is a step a venue would normally take care of for you.

Before You Choose

What to check before you choose

Before you settle marquee hire vs venue hire, check these:

  • Your headcount, and whether it is a seated meal or a standing function.

  • The site: who owns it, what the surface is and how a truck gets in.

  • Power, toilets and parking, which a venue includes and a marquee site may not.

  • Paperwork, if the marquee is over 100 square metres, stays up longer than a month or goes on a council park.

  • Your date: corporates plan Christmas functions from mid-year, and couples book wedding marquees six to twelve months out.

FAQs

How does the cost of a marquee compare with a venue?

With marquee hire vs venue hire, it depends on what each quote covers, so compare like with like. A venue's hire fee usually covers the room and often the kitchen, toilets and parking, and some include their own catering. A marquee quote from us covers the marquee itself, sized to your guest count and layout, plus whatever goes inside it, such as flooring, lighting, heating, tables, chairs and a PA, with set-up and pack-down by our team. Your site then provides the rest, which is why power and toilets belong on the checklist. Our Auckland marquee hire cost guide explains what moves the number up or down, and for larger events a free site consultation is the quickest way to get an accurate figure you can put next to a venue's.

How many guests can a marquee hold?

Our range runs from 40-guest backyard set-ups to 1,000-guest pavilions, so the marquee is sized to your numbers. As a guide, a seated wedding of about 120 guests often suits a 10m by 25m marquee, and for the North Shore Cricket Club's annual fundraiser lunch we built 500 square metres of marquee to seat 450 guests, with a stage and a full sound system. The final size depends on whether people are seated or standing, and on what else goes inside, such as a dance floor, a bar or a stage. Our guide to what size marquee you need walks through seating and layouts, and for larger events we will measure your site and recommend the right size.

How long does it take to put a marquee up?

It usually takes less time than people expect, because our Baytex Clipframe frames clip together instead of being screwed together on site. At the Les Mills Ceremony Games in Auckland City, the crew had the build done and was out of the car park in about two hours, although a large build with flooring, lighting and furniture takes longer. For a weekend event, a standard hire runs about three days, with the install on the Thursday or Friday and the pack-down on the Monday or Tuesday. Weekday corporate builds can go up on a Tuesday and come down on the Thursday, so nothing sits out over a weekend. We set the timing at the quote stage, so you know when the crew will arrive and when they will be gone.

Can a marquee go on a farm, a club ground or a beach?

Yes. We have set up on lawns, sealed and gravel car parks, tennis courts, sports fields, beaches, remote rural sites, school grounds and waterfront reserves, and the surface decides how we anchor the marquee, not whether we can. In March 2026 we supplied the marquees for the Veg Big Day Out at the Pukekohe Research and Demonstration Farm, a working farm site, and we built 500 square metres on the North Shore Cricket Club grounds for its fundraiser lunch. At Ōrākei Basin we did a waterside install for the 2025 World University Waterski Games. Tell us about the ground, the access and anything overhead, and we will plan the anchoring, whether that is guy ropes, weights or ballast.

Do we still need a caterer with a marquee?

Yes, in most cases. A marquee gives you the space and the gear, and your caterer brings the food and the staff, so we lay the marquee out around them, with room for serving and clear walkways. Glassware, crockery, cutlery, tables, chairs and lighting can all come from us on the same quote as the marquee, which leaves the caterer free to focus on the food. If your caterer needs power for their equipment, tell us early so it is part of the site plan. A venue may include its own kitchen and catering, so if the food matters most and the venue's menu suits, weigh that against the freedom a marquee gives you.
